Roger Holman Music, licenses stage and other media performances of ‘Florence’ the musical. To communicate with you, we collect information from you. Roger Holman Music is the controller of your personal information.

We take your privacy very seriously and will only use your information in the ways that you want us to. This Privacy Notice explains what information we collect, how and when it is collected, what we use now and in the future.
We collect the following information from you
We collect the information we need to allow us to process your transaction or respond to your enquiry. For the purpose of licensing the performance of ‘Florence’, this information includes, for example, your personal contact details, your name, address, telephone number, email address, your organisation’s name, your position, address and telephone number, performance venue(s) details, performance dates, seating capacity, estimated size of cast and band, material and resource requirements.
As necessary, we may collect information which is publicly available via search engines such as Google, Facebook and websites. This includes information about you and your organisation, which you and your organisation make public.
How we use your information
We use your information to evaluate your application or process your transaction and despatch your order. If you do not provide us with all the information we need, this may affect our ability to offer services and issue a licence.
Your name, email address and telephone number, along with details surrounding a licensed performance, may be passed to other companies or organisations to assist in the delivery of requested resources. We will only provide these companies or organisations with the information they need. They are only allowed to use your information in the way in which we tell them.
For composers and authors etc. and our trade suppliers, we need to collect information that facilitates payments in line with the agreed terms and conditions of contracts in existence. This includes contact details such as names, addresses, telephone numbers, email addresses, payment information e.g. bank details, transaction history such as invoices, payments, correspondence and queries.
We will process your personal information in pursuit of our legitimate interests to communicate with you regarding questions, comments, complaints and feedback in relation to Roger Holman Music in general.
We may share your personal information with our professional advisors such as lawyers, accountants, solicitors or an advice agency. Roger Holman Music will not sell your personal data to third parties.
Your personal information may be stored securely in paper form and/or on our electronic filing systems. Our email accounts are web based. Providers store related data internationally and not necessarily within the UK or Europe. The recipient of this data is the provider concerned. Your personal data is also stored in iCloud and the location of the servers may be outside the UK or EU.
How long will data be held?
We will hold personal data about you for the duration of your contract and for seven years after your contract has ended. This is the statutory limitation period of six years plus a further year. We are also required to retain information for up to six years for tax purposes. A contract is deemed completed when all performances have taken place and all contractual invoices have been paid.
Personal data submitted in a request for perusal material is stored for no more than one year.
What you can expect from us?
We will comply with the standards, procedures and requirements of UK data protection laws to ensure the personal information you give us is kept appropriately secure and processed fairly and lawfully.
Other obligations
The title of the musical, 'Florence', should be used in full in all publicity.
We may require you to feedback to us any performance review(s) you have received and about the usage or services our website provides to help us develop and improve it further.
We may require you to send to us, free of charge, a copy of the licensed master copy of the CD or other electronic master of your performance of ‘Florence’ and good quality copies of any programmes, photos, leaflets, posters or other publicity material either as hard or electronic copies.
We may use your material, listed in the previous two paragraphs, as part of our publicity. We do not publish personal details, however we may acknowledge your organisation and, if applicable, your performance venue and comment on your material in our publicity.
We may require you to provide free of charge, for the benefit of our guests, allocated car parking at your performance venue, if there is public access parking, and supply to us up to 12 complimentary tickets for the best available seats, for each of your public performance(s) of ‘Florence’. We will inform you before your first performance, if we want to exercise this option.
For quality control and training purposes, we may monitor or record your communications with us.
Acknowledgement
You must acknowledge, 'Music and Lyrics by Roger Holman and Book by Terence Samuel', and display our website address, ‘www.florencethemusical.com’ prominently and in proximity to the title 'Florence' on all publicity.
Requesting changes to our use of your data
The accuracy of your information is important to us. Please help us keep our records updated by informing us of any changes to your email address and other contact details.
You have the right at any time to:
